CHECKLIST FOR ORGANIZING AND CONDUCTING A CERTIFICATION CLINIC

 

SCHEDULING A CERTIFICATION CLINIC

q      Obtain or re-new CHA Program Membership

q      Obtain Host Site Approval by phone from Program Director 800-399-0138

q      Establish dates for clinic (minimum 5 days, 3 days for seasonal certification)

q      Get verbal commitment from CHA Clinicians. Each clinic group requires one CI and ACI or two CIs; one CI must agree to be Clinic Director.

q      Complete Cost Factors form and set participant fee for outside participants

q      Submit Clinic Request form to CHA office

q      Submit Material Order Form to CHA office

 

 

ORGANIZING THE CLINIC

q      Secure written contract for clinic staff (sample enclosed)

q      Make travel arrangements for clinic staff

q      Advertising and promotion for clinic

q      Mail registration materials and manuals to participants

q       CHA Application and Health Sheet

q       CHA Course Syllabus, suggested packing list

q       Required CHA Manuals

q       Information on schedule and host accommodations

q      Send copies of above information (except books) to all clinic staff

q      Coordinate with Clinic Director on clinic schedule, accommodations, feeding and stable duties, horse and equipment use, contingency plans and any special needs of facility or participants

 

PREPARATION FOR THE CLINIC

q      Fix, clean, repair tack, helmets and other equipment

q      Repair and maintenance to fences, barn, stalls, arenas

q      Health maintenance for horses (vet and farrier routines)

q      Plan meal times, location, menu

q      Prepare housing for participants (if provided)

q      Secure any additional equipment needed for clinic (jumps, pack saddles, English saddles, etc.)

q      Check Emergency Equipment

q       1st Aid Kit easily located, fully stocked

q       Fire Extinguishers

q       Post Emergency Contact Numbers

 

CONDUCTING THE CLINIC

q      Greet staff, orient CD to site and facilitate getting the clinic started

q      Greet participants, give site and barn orientations

q      Collect any clinic fees owed by participants to the host site

q      Work with the Clinic Director to facilitate a productive clinic for everyone

q      Coordinate with Clinic Director to ensure required post-clinic paperwork is submitted to CHA office

q      Ensure all fees owed to CHA are paid in a timely fashion
